For many businesses, processing sales orders arriving as CSV files or Excel Spreadsheets is a regular part of their day. Although it may be that these orders have been downloaded from online channels in this format to then be processed through designated Accounts or Order Processing Systems, most commonly it will often be a case that regular customers will simply send their orders across in this format. This type of order processing can be particularly prevalent in certain B2B supply chains and also for any business offering fulfilment or third party logistic services. However although this method of receiving orders is quite common, it is also quite a time-consuming process to manage.

This is because businesses processing orders in this manner will usually fall into the trap of staff spending a lot of their time performing manual imports and exports of these orders. This is because each order needs to be passed down to the warehouse to fulfil and then shipped across to couriers for delivery and accounts systems for invoicing. However now major development has been added that has seen this functionality replicated to work for the importing of sales order data in either CSV or Microsoft Excel format.

Now users regularly importing sales orders in CSV or Microsoft Excel can do so automatically by importing these orders directly into OrderWise via custom import definitions. These can be easily set up within OrderWise under the new designated node, with sales order fields being mapped to columns, rows or specific cells on the chosen import file. Using this tool, businesses can also convert or merge their data to suit the purpose for it within OrderWise. For example, forename and surname fields on the Excel or CSV file can be merged into a single Customer Name field, or the term UK converted to GB.

To set up their import definition, users specify their own labels for the data on the import file, highlighting the fields they are mapping and to where before running a test to check everything is working as required. Once the import definition has passed the test, the data on the import file is converted to the familiar sales order file structure used for importing online orders in OrderWise.

The import is then further validated to ensure it contains no errors, with any issues flagged up and stored in the log so that these can be quickly corrected before the standard eCommerce session is set up. It will then be automatically imported via a standard eCommerce import session to be processed in OrderWise as a normal sales order.
